We're looking for an absolute SUPERSTAR ⭐️ to join us as the new Part-Time ADMIN ASSISTANT reporting into our Operations Manager.

ROLE PURPOSE -
As the Administrative Assistant to the Operations Manager, you will be responsible for many clerical tasks, to ensure and assist with the day-to-day operations of the business. This will include tasks such as filing paperwork, preparing documents for meetings, managing the calendar of their Operations Manager, and more.
While located in our Head Office in Carlisle, this role will require you to assist the Operations Manager in routine centre visits across our 7 (and growing) WA centres.
The below list is not exhaustive, and the role may change to meet the overall objectives of the company.
MAIN DUTIES & RESPONSIBILITIES -
Check Qikkids regularly, Sign in\out children on Qikkids. Conducting monthly audits on Qikkids and Xplore
Check 1place to ensure all the checklists are done and if not completed follow up with the Centre
Checking the ‘precious moments’ videos are done for each Centre
Keeping record of room meetings and staff meetings
Ensuring all the planned events are executed as per the plan
Updating and checking the staff details on ChildHR, ensuring staff inductions are completed, all the certificates and qualifications are up to date for each employee, and that new staff are added to ChildHR
Organise and schedule appointments
Plan meetings and take detailed minutes
Write and distribute email, correspondence memos, letters, faxes, and forms
Assist in the preparation of regularly scheduled reports
Develop and maintain a filing system
Assisting in updating and maintaining office policies and procedures
Order office supplies and research new deals and suppliers
Maintain contact lists
Submit and reconcile expense reports
Act as the point of contact for internal and external clients
Following recruitment procedure and organise interviews and follow up
Liaise with managers to handle requests and queries from Operations Manager
Visit Cuddles Centres when required
Fulfill other duties as required by management and other department personnel as requested/required
QUALIFICATIONS -
Prior experience within Childcare Industry (Minimum Cert III)
HR and Recruitment experience not necessary, but would be highly recognised
Management training
Acceptance from Working with Children Check
National Police Clearance
Child Protection training
Hold a valid WA Drivers Licence and own a car
KNOWLEDGE & EXPERIENCE -
Computer proficient, including Microsoft Office
Organized, self-directed and reliable
Excellent verbal and written communication skills
Professional demeanour and appearance
Able to handle pressure and diffuse tough situations
